FlowEzy ("we," "us," or "our") operates the FlowEzy mobile application and web platform (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

When your organization creates an account for you, we collect the following personal information:

  • Email address — for authentication and notifications
  • Phone number (optional) — for contact purposes
  • Department and role — for access control and task routing
  • Password — stored in encrypted (hashed) form; we never store plain-text passwords

1.2 Manufacturing & Operational Data

In the course of using FlowEzy, the following operational data is generated and stored:

  • Production batch information (batch numbers, quantities, status)
  • Quality control results (test measurements, pass/fail outcomes, remarks)
  • Task execution records (completion status, timestamps, measurements)
  • Inventory and lot tracking data
  • Approval and escalation records
  • Audit logs (action history with timestamps)

1.3 Photos & Images

The mobile app may request access to your device camera and photo library to capture evidence photos for quality control tasks and production checkpoints. Photos are uploaded and stored alongside the relevant task record.

1.4 Device & Usage Information

We may automatically collect limited technical information to ensure the Service functions correctly:

  • Device type and operating system version
  • App version
  • Crash and error logs (for debugging purposes)

1.5 Information We Do NOT Collect

  • GPS or precise geolocation data
  • Contacts, calendar, or microphone data
  • Biometric data
  • Financial or payment information
  • Health or medical data
  • Advertising identifiers — we do not serve ads or track users for advertising

2. How We Use Your Information

We use collected information for the following purposes:

  • Authentication & access control — to verify your identity and grant role-based access
  • Production management — to assign tasks, track batch progress, and manage workflows
  • Quality assurance — to record and enforce quality control checkpoints
  • Inventory management — to track raw materials, lots, and finished goods
  • Notifications — to send task assignments, approvals, escalations, and alerts
  • Audit & compliance — to maintain audit trails for regulatory and operational accountability
  • Service improvement — to diagnose bugs and improve app performance

3. Data Sharing & Disclosure

We do not sell, rent, or trade your personal information to third parties. We may share data only in these circumstances:

  • Within your organization — your data is visible to authorized users in your workspace (managers, supervisors, admins) as permitted by their role
  • Service providers — we use trusted infrastructure providers (cloud hosting, database services) to operate the Service. These providers process data solely on our behalf and are bound by data protection agreements
  • Legal requirements — we may disclose data if required by law, regulation, or legal process, or to protect the rights, safety, or property of FlowEzy, our users, or the public

4. Data Storage & Security

We implement appropriate technical and organizational measures to protect your data:

  • Passwords are hashed using industry-standard bcrypt encryption
  • All data in transit is encrypted via HTTPS/TLS
  • Authentication tokens are stored securely on your device using platform-native secure storage
  • Workspace isolation ensures your organization's data is completely separated from other organizations
  • Role-based access controls limit data visibility to authorized users

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Specifically:

  • Account data — retained while your account is active and for a reasonable period after deactivation
  • Production & quality records — retained as required for regulatory compliance in the food manufacturing industry (typically 3–7 years)
  • Audit logs — retained for compliance and accountability purposes

6. Your Rights

Depending on your jurisdiction, you may have the right to:

FlowEzy is a workplace tool designed for use by adults in a manufacturing environment. We do not knowingly collect personal information from anyone under the age of 18. If we learn that we have collected data from a minor, we will take steps to delete it promptly.

The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies.

10. International Data Transfers

Your data may be processed and stored on servers located outside your country of residence. We ensure appropriate safeguards are in place to protect your data in compliance with applicable data protection laws.
