Data Deletion Policy

At FlowEzy, we respect your right to control your personal data. This page explains how you can request deletion of your data and what happens when a deletion request is processed.
1. How to Request Data Deletion
You can request deletion of your personal data in two ways:
Option A: Through Your Organization
Contact your workspace administrator. Administrators can deactivate your account and request data removal on your behalf through the FlowEzy Admin Panel.
Option B: Contact Us Directly
Send an email to privacy@flowezy.in with the following details:
- Your full name
- Email address associated with your FlowEzy account
- Organization / workspace name
- A clear statement that you wish to have your personal data deleted
2. What Data Will Be Deleted
Upon processing your request, we will delete or anonymize:
- Your name, email address, and phone number
- Your account credentials
- Your role and department assignments
- Notification preferences and read status
3. What Data May Be Retained
Certain data may be retained in anonymized form or as required by law. This includes:
- Production and quality control records — these are regulatory compliance records required in the food manufacturing industry. Your name will be anonymized in these records, but the operational data (batch records, quality test results, task completion records) may be retained to meet regulatory obligations.
- Audit logs — action logs may be retained in anonymized form for compliance and security purposes.
- Photos — evidence photos attached to quality control records may be retained as part of the production record but will no longer be associated with your identity.
This approach ensures your organization remains compliant with food safety regulations while respecting your data deletion rights.
4. Processing Timeline
- We will acknowledge your request within 3 business days
- Deletion will be completed within 30 days of verification
- We may contact you to verify your identity before processing the request
- You will receive a confirmation email once deletion is complete
5. Effects of Account Deletion
Once your data is deleted:
- You will no longer be able to log in to FlowEzy
- Your tasks and assignments will be unassigned or reassigned by your administrator
- Any pending approvals assigned to you will need to be reassigned
- This action is permanent and cannot be reversed
6. Organization-Wide Data Deletion
If your organization wishes to delete all data associated with a workspace (full account closure), the workspace administrator should contact us at privacy@flowezy.in. Organization-wide deletion will remove:
- All user accounts in the workspace
- All production, quality, and inventory records
- All uploaded photos and attachments
- All audit logs and notification records
- All configuration data (products, routes, templates)
