Admin Panel Guide

The FlowEzy Admin Panel is a web-based dashboard for factory managers and administrators. Use it to configure your manufacturing setup, launch and monitor production batches, manage users, handle approvals, and track inventory.

Getting Started

Access the Admin Panel through your web browser. Log in with your email and password, then select the workspace you want to manage. Your session is secured with a JWT token that automatically redirects you to the login page when it expires.

Log in

Enter your email and password on the login screen. If your account belongs to multiple workspaces, you will be prompted to select one.

Select a workspace

Choose the factory workspace you want to manage. All data — users, batches, inventory — is scoped to the selected workspace.

Explore the dashboard

You will land on the Dashboard, which shows a summary of active batches, pending approvals, raw material stock, finished goods, and recent notifications.

At-a-Glance Overview

The dashboard provides a real-time snapshot of your factory operations:

  • Stat cards — Total batches, active batches, pending approvals, and unread alerts.
  • Recent Batches — The latest batches with their current status (Draft, In Progress, On Hold, Completed).
  • Pending Approvals — Stage or task approvals waiting for action.
  • Raw Materials Stock — Current ingredient stock levels with quantities and units.
  • Finished Goods — Production lots with lot numbers, quantities, and QC status.
  • Recent Notifications — System alerts for control point failures, batch completions, and more.

User Management

Users, Roles & Departments

Manage who has access to your workspace and what they can do.

  • Users — Create user accounts with name, email, phone, department, and role. View individual accountability stats, task history, and activity logs.
  • Roles — Define roles (e.g. Admin, Supervisor, Operator) that control access levels. Tasks and approvals can be assigned to specific roles.
  • Departments — Organize users into departments (e.g. Production, Quality, Packing). Tasks can be assigned to entire departments.

Master Data Setup

Before launching production batches, configure the master data that defines your products and manufacturing processes.

Items & Products

Items are the base catalogue of materials — raw ingredients, packaging materials, and finished goods.

Products are finished goods you manufacture. Each product links to an item and can have a Bill of Materials (BOM) that lists the ingredients and quantities needed per unit.

Ingredients & Packaging Materials

Register all raw ingredients and packaging materials your factory uses. These are referenced in BOMs and tracked in the stock management system for automatic deduction when batches complete.

Task Templates

Task templates define the individual checks and data collection points used across your operations. Each template specifies:

  • Task type — Number, Pass/Fail, Checkbox, Text, Photo, Signature, or Multi-Choice.
  • Validation rules — Min/max values for number tasks, expected values for pass/fail.
  • Control point — Flag a task as a control point so a failure automatically puts the batch on hold and triggers an approval workflow.

Routes & Operations

Manufacturing Routes

A Route defines the ordered sequence of stages a product goes through during manufacturing (e.g. Receiving → Processing → Packing → Dispatch).

  • Stages — Each route contains ordered stages. Stages can require approval before moving on.
  • Operations — Each stage contains operations (groups of related tasks at a workstation). Operations can be reused across multiple stages and routes.
  • Task assignment — Assign task templates to operations with frequency (per batch, hourly, every N minutes), due-time offsets, and ownership (user, role, or department).
  • Drag & drop reordering — Reorder stages, operations, and tasks within the route builder.

Batch Management

Production Batches

A batch represents a single manufacturing run of a product through its route.

  • Create — Select a product, route, planned quantity, and unit of measure. The system generates a unique batch number.
  • Start — Starting a batch kicks off the first stage and creates all task runs for that stage's operations.
  • Stage progression — As operators complete tasks, stages auto-advance. If a stage requires approval, it enters a Waiting Approval state.
  • Control point holds — When a control point task fails, the batch is put on hold and an approval is created. An admin or supervisor must approve or reject before work continues.
  • Completion — When all stages are done, the batch is marked Completed. Ingredient stock is automatically deducted per the BOM, and a finished goods lot is created.
  • Batch report — View a detailed report of all stages, operations, and task results. Download as a PDF for audit records.

Approvals

Approval Workflows

Approvals are triggered automatically when:

  • A control point task fails — creates a task-level approval and puts the batch on hold.
  • A stage completes that has approval required enabled — the stage enters Waiting Approval status.

Approvals can be assigned to specific roles (e.g. only Supervisors can approve stage completions). Approve or reject with notes from the Approvals page.

Inventory & Stock

Warehouses & Locations

Set up warehouses and named locations within them (e.g. Cold Store → Shelf A). Lots can be moved between locations with full movement history tracking.

Raw Material Stock

Track ingredient stock levels. Add stock manually when receiving materials. Stock is automatically deducted when a batch completes, based on the product's BOM and the batch quantity. Before starting a batch, use the stock check to verify all ingredients are sufficient.

Lots & QC

Finished goods are tracked as lots. When a batch completes, a lot is automatically created with QC status Pending. Moving a production lot to a warehouse location auto-finalizes it to Pass status. You can also manually update QC status (Pending, Hold, Pass, Reject).

View full traceability — which raw lots were consumed and which finished lots were produced — for any lot.

Notifications

Real-time Alerts

The notification system keeps you informed of important events:

  • Control point failures and batch holds.
  • Stage completions and approval requests.
  • Batch status changes.

View all notifications from the bell icon. Filter by read/unread and mark individual or all notifications as read.

Reports

Batch Reports & Audit Trail

Every batch has a detailed report showing all stages, operations, task results, who completed each task, timestamps, and any approval decisions. Download reports as PDF for regulatory compliance and internal audits. User-level accountability stats show task completion rates, activity history, and performance metrics.
